Lead Project Manager

As the Lead Project Management, you will be part of a four person team, defining clear Project Management processes, line managing Project Managers and also delivering key WordPress web design and development projects, both through the initial project phase and ongoing retainer model. You will sit within our Lead community, leaning on our wider team of specialist team members to identify the best solutions against requirements and budgets.

You’ll need to be proactive, confident and friendly with our clients, have a solid understanding of the solutions we provide, and have excellent attention to detail. You will work with teams who align with our mission to use business as a force for good and play your part in accelerating the shift to an Internet that’s good for people and planet.

Please note: This is a part time role with the number of days and spread per week negotiable.

About our recruitment process

About the role

Day to day and skills

The majority of the time you’ll be working to deliver, and support the team in delivering, world-leading sustainable WordPress websites for the mission aligned organisations we work with. Below is a guide as to what you will be doing day to day:

Growing the Project Management team’s skills
You will directly manage the Project Management team, inspiring them to deliver projects on time and on budget, supporting them when and if this falls short. This means providing support on a project level but also at a human level, making sure their individual approaches are considered.

Delivering projects on time and on budget
Vital to the success of running a highly effective studio that exceeds our clients needs, is ensuring that we deliver projects on time and to budget, every time. Your role is pivotal in balancing resource, budget and expectations so that all teams can effectively work to a common goal. Proactive management of project roadmaps and communications are key as you will manage some of our key client projects and retainers.

Managing time, resource and stakeholders
You are responsible for ensuring the project objectives for yourself and your team are being set and met. That means having the right resource to do it and so you will work with the wider Wholegrain team to effectively built the right project teams to meet the need and plan the resource needed. It will also mean managing expectations and stakeholders in the clients team, ensuring we are all on one page.

Creatively solving problems and risk management
When faced with a project challenge, respond positively to fully understand the nature of the issue, its source and proactively work with the wider teams, to provide options that balance the project health, client need and Wholegrain resources. This includes setting and being supported in holding clear boundaries for clients and teams alike.

Strategic planning
Apply your experience and knowledge to strategically resource your projects, and support doing so across the team. Consider long term and immediate needs. Plan and resource to support the Studio and our clients’ projects.

Wider skills and accountability

Effective communication
You can’t underestimate the power of good, effective communication at keeping a project on track, and everyone is different. So being aware of how you communicate best and how that translates to your opposite project manager and internal teams communication needs, is vital. Communication will be expected across all channels, written, verbally and in face-to-face discussions as well as presentations with our clients and their wider teams.

Reporting and insights
You will be accountable for a level of reporting and insight gathering and so whilst we do not expect our PMs to be design or development specialists, an understanding and enthusiasm for WordPress and its capabilities is key in order to effectively understand our technical teams approach. If you don’t know, just raise your hand as you are surrounded by the best in the business to learn from.

Cool head under pressure
Lets be honest, sometimes, things just don’t go to plan. Your role is essential to managing these times when they do occur. Using a level head and taking full scope of the challenge at hand is key to defining the right solutions to strategically move ahead in a way that works for Wholegrain, our people and the client.

Passion for using processes to deliver great customer service
Understanding how client teams and organisations work, and how we can support them to deliver a project, is essential. You will be able to collaborate with our clients, understanding what good service is and suggesting or leading on process evolution to enable us all to work better together.

Independent working and team unity
You won’t be able to do this on your own. You will be reliant on the wider Wholegrain team to bring our client’s websites to life, constantly evolving and maintaining them. You are a central part to this team and therefore essential to keeping your project teams on one page and positive in all situations. You will be coordinating efforts, maintaining motivation and delivering clear communication when it comes to your planning.

Who you will work with

Clients
Our clients sit firmly within the purpose driven space and we have a robust ethical screening process to ensure we are aligned. This could be in any sector from charity through to commercial but they all share our values and want to improve the lives of people and lessen the impact we are having on the planet. You will be expected to work directly with clients, and their teams and in some case suppliers, day-to-day. You’ll be liaising with them to deliver fully scoped and defined projects or deliver a backlog of tasks. You’ll strive for delivering projects on time and on budget so you will focus on identifying and mitigating risk to deliver project success.

Team
You will be central to coordinating and securing team resources and efforts across your taem and projects. You will understand how each team works and how to get the best out of them. You will have a close relationship with the Account Management function to support you across all of your accounts and projects, and the Delivery function to  help secure the resource you have scheduled against the needs of the Studio. Sitting as a central part of the client Success team, you will report directly to the Client Success Director.

The follow leave allowances are all full time equivalent and so will be pro rated depending on how many days you work with us:

  • 22 days holiday + 8 bank holidays
  • A 5 day shut down period over the end of the year

Good to know

Team: Client Success, reporting to the Client Success Director
Term:
Part time, equivalent to 3 days a week between Mon-Fri, 9-5 (variation work patterns considered)
Salary: £45-£48k (full time equivalent, pro rata to days agreed)
Ideal start date: July 2025
Location: Remote with access to shared office space in London
